Many Crafted Call submissions include opportunities to RSVP to opening receptions or related events. RSVPs help galleries plan for attendance, catering, and space. Here's how to RSVP to events through Crafted Call.
Finding Events Attached to Calls
Not every call has an event, but if the gallery is planning one, you'll see it in the call details:
Open the call you're interested in
Look for an "Events" section or tab
You'll see event details like:
Date and time
Location (address or venue name)
Event type (opening reception, talk, workshop, etc.)
Whether RSVP is required or optional
If no events are listed, the gallery may not be hosting a public event for this call. That's fine—you can still submit without attending.
How to RSVP
To RSVP to an event:
Navigate to the event details within the call
Click "RSVP" or "Register"
A form will appear asking for your information
Fill in the required fields (see below for common fields)
Click "Confirm RSVP" or "Submit"
You'll receive a confirmation code via email
That's it! You're registered.
Pro tip: RSVP early. Some galleries limit attendance based on venue capacity, and spots can fill up quickly for popular events.
Common RSVP Form Fields
Different galleries request different information, but here are typical fields:
Basic Information (Required):
Full name — How galleries will recognize you
Email address — For confirmation and event updates
Phone number (sometimes) — In case the gallery needs to reach you
Attendance Details:
Number of guests — How many people will attend with you (usually including yourself)
Will you attend in person? — Confirm you're actually coming (not a maybe)

Vegetarian, vegan, gluten-free, allergies, etc.
Helps the gallery cater appropriately

Custom Questions (Gallery-Specific):
Galleries may ask additional questions depending on the event
Examples: "Are you a submitted artist?," "Will this be your first time at our gallery?," "Do you have studio visit availability?"
Answer honestly—these help galleries gather useful information
Newsletter Signup (Optional):
Many galleries ask if you want to receive future event announcements
You can opt in or out
After You RSVP
Confirmation Email:
Check your email (including spam) for a confirmation from the gallery
It will include your confirmation code (screenshot or save this)
Event details, location, parking info, and timing
Confirmation Code:
This is your proof of RSVP
If the gallery has a check-in process, you may need to provide this code or your name
Some galleries send a unique code per guest, especially for capacity-controlled events
Updates:
The gallery may email additional details (parking, what to bring, schedule changes)
Check your inbox in the days before the event
Checking Your RSVP Status
To verify you're registered:
Go back to the event page within the call
Look for "My RSVP" or "RSVP Status"
You'll see:
Your confirmation code
Event details
Your registered guest count
Any dietary notes you provided
If you don't see this, the RSVP may not have gone through. Try RSVPing again or contact the gallery.
Cancelling an RSVP
If you need to cancel your attendance:
Return to the event page
Click "Cancel RSVP" or "Remove Registration"
Confirm the cancellation
You'll receive a confirmation that you've been removed
Let galleries know as soon as possible if you can't make it. This helps them plan catering and seating.
Courtesy matters. If you RSVP but can't attend, cancel early so another artist can take your spot. Galleries take attendance counts seriously.
Bringing Guests
Most events allow you to bring guests (friends, family, fellow artists):
Specify the number in the "Number of guests" field during RSVP
Usually includes yourself (so "2" means you + 1 guest)
Some galleries limit guests to 0 or 1 per artist
Check the event details to see the policy
Your guests may receive email reminders or can reference your confirmation code.
What to Expect at an Opening Reception
Typical opening reception schedule:
5–8pm or 6–9pm (check your invitation)
Light refreshments and beverages (usually complimentary)
Opportunity to view the exhibition
Time to meet other artists, gallery staff, and collectors
Sometimes a short artist talk or remarks from the curator
What to bring/wear:
Dress code is usually casual to business casual (check the invitation)
Business cards if you have them (good for networking)
Bring an appetite if refreshments are served
Why attend?
Meet curators, collectors, and other artists
See your work (if selected) in the exhibition
Network and build relationships with the gallery
Learn about future opportunities
Custom Fields & Gallery-Specific Questions
Some galleries include custom questions on their RSVP forms:
"Are you a submitted artist in this call?" — Answer yes if you applied
"First time visiting?" — Helps galleries understand audience demographics
"How did you hear about us?" — Tells galleries which marketing worked
"Interested in studio visits?" — Signals you're open to gallery visits
Answer these honestly. Galleries use the information to improve future events and communications. Custom questions usually take a minute or less.
Troubleshooting RSVP Issues

The event may not have an RSVP function (open attendance)
Or you may have already RSVPed

Check spam email (RSVP confirmations sometimes end up there)
Wait a few minutes—emails may be delayed
Go back to the event page to check your status
If still no confirmation after 10 minutes, contact the gallery
Need to change guest count?
Cancel your RSVP and register again with the correct number
Or contact the gallery with your confirmation code to request an adjustment

Watch for rescheduled dates
Can't attend anymore?
Cancel ASAP so someone else can register
Contact the gallery if there's an issue with cancellation
