Class Materials & Certificates

Gallery OwnersUpdated Oct 24, 2026

Two things turn a booking into a course: the handouts students get during it, and the certificate they get at the end. Both are built into events whose Type is Class or Workshop.

That type setting matters more than anything else here. An event set to any other type shows no materials section, no attendance tracking and no certificates. If you cannot find these tools, check the event's type first.

Sharing materials with students

Each class has a Materials page at Admin → Events → your class → Materials. Owners and admins can use it, and so can anyone assigned to the event as a Teacher or Assistant Teacher, so an instructor does not need broader access to your organization.

To add a file:

  1. Under Upload Course Materials, give it a Material Title.
  2. Add a Description if the file needs context, for example what to read before session three.
  3. Choose a Session, or leave it as All sessions for something that applies to the whole course.
  4. Choose the File.
  5. Choose Upload & Notify Students.

PDFs, Word documents, plain text, images and video are accepted.

The button does what it says: every registrant is emailed that new materials are available for the class. Upload deliberately rather than in dribs and drabs, because each upload sends a message.

Everything you have added appears under Uploaded Materials, with how many times each file has been downloaded. That count is a useful signal partway through a course. A handout nobody has opened is usually a handout nobody knows about.

Deleting a material is permanent, and the dialog says so.

What students see

Students find their files in My Classes in their own dashboard, grouped by session with anything unassigned under General Materials. Files they have already opened are marked as downloaded, so they can tell what is new.

Certificates

Certificates are issued per attendee. Most go out on their own when attendance is complete; you can also issue one by hand from the class's attendance table.

Setting up the wording

Open the class and find Certificates. There are two levels:

  • Organization default is used by every class that has no override. Set this one up once.
  • Event override replaces the default for this class only, and can be removed again with Remove override.

Each has a Title, which defaults to Certificate of Completion, and a Body template. Two switches control what else prints: Include instructor names and Include class dates.

The body template accepts four placeholders, which are filled in for each recipient:

  • {{studentName}}
  • {{classTitle}}
  • {{dateRange}}
  • {{instructorNames}}

Instructor names come from the people assigned to the event as Teacher or Assistant Teacher. Dates print on your organization's clock.

How they are issued

Automatically, on full attendance. When an attendee is marked present for every session of the class (the first session and every repeat that was not cancelled), the certificate is created and emailed to them at that moment, with no further step. Whoever ticks the last session box sends it, so if a certificate should depend on more than attendance, such as finished coursework, hold that final mark until you have decided.

By hand, at any time. In the class's attendance table, each attendee has a Certificate column with an Issue button. Choose it, and the certificate is created for that person and emailed to them, whatever their attendance. Use it for someone who completed the course without being marked at every session.

Once issued, the row shows View certificate and when it was issued. There is no bulk issue. See Check-In & Attendance Tracking for marking sessions.

What the recipient gets

The certificate has its own web page, reached by a link that cannot be guessed, so the student can share it without signing in. It shows the certificate title and body, then Recipient, Course, Dates, Instructor and Issued, with Download PDF for a copy.

The PDF is built once and kept, so the link stays stable. A student can come back to it a year later, and so can anyone they sent it to.

Running a course well

  • Set the event type before anything else. Everything in this article depends on it.
  • Upload before the session, not after. A supply list is only useful in advance.
  • Batch your uploads. Each one emails the class.
  • Use the session field. A file pinned to session five appears where students expect it, instead of in a general pile.
  • Mark attendance as you go. A certificate goes out when the last session is marked, so a grid filled in a month late sends it a month late.
  • Check your organization default once, then let every class inherit it.

Troubleshooting

I see no Materials page or Certificates section. The event's Type is not Class or Workshop. Change it, and both appear.

An instructor cannot reach the materials. They need to be assigned to the event as Teacher or Assistant Teacher on the Event Team. Organization membership alone is not enough.

A student says a download does nothing. The file opens in a new tab, so a pop-up blocker will stop it. Ask them to allow pop-ups for the site and try again.

A certificate has the wrong instructor. Instructor names come from the event team. Fix the assignments, then issue again.

A certificate has no dates. Include class dates is off on the template being used, or the class has no session dates set.
