Tax-record planning for juried shows

This guide is a planning checklist, not legal or tax advice. Reporting thresholds, form classifications, deadlines, withholding rules, sales-tax nexus, and state requirements can change. Have a qualified tax professional review your organization's exact payment types, entity status, jurisdictions, and current-year instructions before you pay recipients or publish a policy.

The forms and authorities named below are United States ones, so this checklist is written for US organizations. Australian organizations should start with Australian GST and Your ABN. Organizations in other countries should ask a local advisor which equivalents apply before adapting anything here.

Inventory payment types

Create separate categories for prizes, juror honoraria, contractor services, artwork-sale proceeds, reimbursements, refunds, royalties, and payments to non-U.S. persons. Do not assume that two payments to an artist have the same reporting treatment simply because the recipient is the same.

For each category, ask your advisor:

  • Which organization is the payer of record?
  • Which current tax form, if any, applies?
  • What calendar-year aggregation and reporting threshold applies now?
  • Does a payment processor have any separate reporting responsibility?
  • Is federal or state withholding required?
  • What sales-tax registration or marketplace rules apply?

Collect sensitive data safely

Request tax documentation only when there is a documented business need. Limit access to staff responsible for finance and compliance. Do not collect taxpayer identifiers in ordinary call questions, email threads, shared spreadsheets, or public artwork records. Use encrypted storage, access logging, a retention schedule, and a secure deletion process approved by counsel.

For international recipients, do not turn a Form W-8 series question into a generic W-8BEN instruction. Entity type, income source, treaty position, and services performed in the United States can change the required form and withholding treatment. Escalate these cases before payment.

Reconcile before filing

Maintain a payment ledger that connects each recipient, payment date, amount, purpose, source transaction, refund, and issued form. Reconcile it with the accounting system and processor reports before year end. Use the current official instructions for filing and recipient delivery deadlines.

Separate platform records from professional judgment

Crafted Call can help organize artist, sale, settlement, and payment evidence. It does not determine a payment's tax classification, create legal advice, or replace the organization's accountant. Record the advisor's decision in the finance procedure so future staff do not reclassify payments from memory.
